ClickUp Backup Options – Exports vs. Backup Solutions

There are a few options for backing up your data. Depending on your needs and use case 1 or 3 might be the best option for you.

  1. Bulk Export Workspace data as a CSV file
  1. Run exports with ClickUp API
  1. Use a backup and recovery service

Workspace owners and admins can export data from ClickUp at any time. This feature allows for bulk export into CSV format for your entire workspace. You can also manually export list and table views, but this feature is limited to business plans and above.

Although this is free and a button away, using manual exports comes with challenges:

  • Disruption due to bulk recovery. Deletions of tasks, subtasks, and attachments happen all the time. With exports, you must import and recover your entire workspace or recreate specific configurations.  
  • Single point of failure. Downloading workspaces means that one employee with one local device or hard drive contains critical backups. Imagine if that person is out on vacation, sick, or exists in your company. This means that your backups are not accessible and are easily corrupted.

  • Does not meet compliance requirements. Highly regulated industries and compliance directives like NIS2 and DORA require backup policies that are automated, accessible to multiple employees, and stored in safe, offsite storage (no, hard drive in a desk somewhere does not count).  

Scripting exports with the ClickUp API

Another option is to script and schedule exports using the ClickUp API. This means you can avoid manually downloading exports by building your scripts and scheduling bulk exports on a regular basis. We consider this to be a better option compared to manual downloads because it adds automation. Yet, scripts come with their own set of challenges:

  • Disruption due to bulk recovery. Just as manual exports, scripts only allow you to re-import your entire ClickUp workspace. This is still highly disruptive and a lengthy process when someone deletes a task or attachment and needs it quickly.  
  • Managing scripts requires time and resources. Scripts require building, scheduling, tweaking, and continuously maintaining them to automate backups, yet they still do not offer better recovery options compared to manual downloads.  
  • High corruption. ClickUp data is becoming more important than ever; if there is a scenario where data must be recovered, you want 100% assurance that the restore will work. Scripts are highly corruptible and error prone.
