Why should you back up ClickUp?
ClickUp has become an essential tool for project management and team collaboration, streamlining workflows and centralizing information for organizations of all sizes. Its intuitive interface and versatility in handling tasks, documents, and communication have made it a cornerstone of productivity for many teams. However, like any application, ClickUp is not immune to the potential of data loss. Some of the most common examples are:
Accidental deletions of ClickUp projects, subtasks, subtasks, attachments, etc.
Modifications of custom fields
Insider threats – disgruntled employees or contractors
Data loss cripples team productivity and customer experiences
Given the vital nature of the information managed within ClickUp—including project plans, task assignments, and team communications—safeguarding this data is paramount. Losing projects or specific tasks and configurations can severely reduce productivity and even impact the customer experience. Some examples include:
The impact on customer churn if someone accidentally deletes critical items in your backlog.
The loss of knowledge if your whiteboards are deleted.
Loss of billing revenue if time tracking data is gone.
The common myth about SaaS: ‘Wait, I thought I wasn’t responsible for SaaS apps in the cloud?’
SaaS applications like ClickUp bring incredible convenience and offload the need to host applications in your data center, but that doesn’t mean you offload all data responsibilities. Think of ClickUp as a parking garage, just like any garage you expect that you can pay, use the service, and that the garage is accessible and safe. But what if someone scratches your car? Or steals a phone in the car? It’s not the garage’s responsibility, it’s yours.
ClickUp is responsible for their system, so if there’s an outage or cyber event, it’s their responsibility to restore operations. But if you as a user and tenant, delete data inside of your sites, then it’s your responsibility to recover the data.
Here is why backing up ClickUp is essential as per their terms:
Here's why implementing a ClickUp backup strategy is crucial:
Protecting Intellectual Property
ClickUp projects often contain sensitive project plans, documents, and innovative ideas that are invaluable assets. A backup ensures your intellectual property remains encrypted and secure storage protocols provided by backup solutions ensure that sensitive information remains confidential and protected.
Maintaining Business Continuity
By implementing regular ClickUp backups, teams can mitigate risks and restore operations quickly and helps maintain business continuity and keeps projects on track.
Guarding Against Cyber Threats
Having a secure, separate backup of your ClickUp data provides an additional layer of protection. If your primary data is compromised, you can restore from a clean backup.
Compliance and Legal Requirements
A reliable backup solution helps organizations adhere to compliance requirements by securely storing historical data and enabling auditable data recovery processes.
Facilitating Data Analysis and Reporting
Historical data in ClickUp can provide valuable insights for future planning. Regular backups create a rich dataset that can be analyzed for trends and performance metrics over time.
Supporting Remote Work
Ensuring this data is backed up supports flexible work arrangements and provides less risk for remote employees.
As teams expand their operations and increase project portfolios, the volume of data managed within ClickUp also grows. An effective backup system scales alongside this growth, offering sufficient storage and streamlined data handling.

ClickUp Backup Options – Exports vs. Backup Solutions
There are a few options for backing up your data. Depending on your needs and use case 1 or 3 might be the best option for you.
Bulk Export Workspace data as a CSV file
Run exports with ClickUp API
Use a backup and recovery service
Bulk Exports of ClickUp workspaces, views, doc pages, and dashboard cards
Although this is free and a button away, using manual exports comes with challenges:
Disruption due to bulk recovery. Deletions of tasks, subtasks, and attachments happen all the time. With exports, you must import and recover your entire workspace or recreate specific configurations.
Single point of failure. Downloading workspaces means that one employee with one local device or hard drive contains critical backups. Imagine if that person is out on vacation, sick, or exists in your company. This means that your backups are not accessible and are easily corrupted.
Does not meet compliance requirements. Highly regulated industries and compliance directives like NIS2 and DORA require backup policies that are automated, accessible to multiple employees, and stored in safe, offsite storage (no, hard drive in a desk somewhere does not count).
Scripting exports with the ClickUp API
Another option is to script and schedule exports using the ClickUp API. This means you can avoid manually downloading exports by building your scripts and scheduling bulk exports on a regular basis. We consider this to be a better option compared to manual downloads because it adds automation. Yet, scripts come with their own set of challenges:
Disruption due to bulk recovery. Just as manual exports, scripts only allow you to re-import your entire ClickUp workspace. This is still highly disruptive and a lengthy process when someone deletes a task or attachment and needs it quickly.
Managing scripts requires time and resources. Scripts require building, scheduling, tweaking, and continuously maintaining them to automate backups, yet they still do not offer better recovery options compared to manual downloads.
High corruption. ClickUp data is becoming more important than ever; if there is a scenario where data must be recovered, you want 100% assurance that the restore will work. Scripts arehighly corruptible and error prone.
ClickUp’s native backup capabilities provide basic tools for data export and recovery, which can be useful for small teams or individuals. However, if your organization has many users or compliance requirements, a backup solution is really the only approach that can minimize data loss and disruption and keep your organization productive.
Restore the following in just one click directly into ClickUp:

Automate all backups in one click with ‘set and forget’ policies. No more manual downloads or scripts, simply select how often you want your backups to run (ex. 4 hours) and how long you want to store them.
Meet compliance and data retention requirements by storing ClickUp backups in a safe, offsite storage location that is only controlled and accessible to you. You can keep backups in Amazon S3 buckets. Azure Blob Storage, Google Cloud Storage (GCS), and S3-compatible storage targets like Wasabi,
